Administrative Support for Students.

Upon an  acceptance into BBA and MBA program, students are provided with Information Folder, which helps them to navigate administrative issues and explains all the necessary steps and certain ConcordiaUA officers they need to see while having questions. Here is what the Information Folder says:

1. International Students

1.1. If you are a new international student, the first person you need to contact with is the International Department Manager. The International Department Manager will help you with the following issues:

  • The process of foreign students‘ registration according to the requirements of the Ukrainian legislation;
  • Dealing with the National Immigration Office.

1.2. You may also need to contact the Admissions Director of ConcordiaUA. Admissions Director can help you with the following issues:

  • Obtaining all the necessary information of the University‘s programs;
  • Finalizing admission documents.

1.3. The next person you need to see is the International Program Coordinator. The International Program Coordinator will help you with:

  • Academic registration process (i.e., identifying the necessary prerequisite classes, selection of appropriate classes);
  • Solving disputes between students and professors;
  • Preparation of documentation per student request (transcripts, letters, references, characteristics);
  • Maintenance of all the necessary documentation related to a student academic progress;
  • Preparation for the graduation process.

1.4. You will also need to see ConcordiaUA‘s Methodology Program Specialist. ConcordiaUA‘s Methodology Program Specialist can assist you with the following issues:

  • Help with academic registration process;
  • Check your academic progress and clarify your grades;
  • Maintain student academic reports, registration applications;
  • Communicate with the students on their academic activity: transfer, registration;
  • Provide information on class schedules;
  • Preparation of the graduation documentation.

1.5. You would also need to see the Dean of the International Program. ConcordiaUA‘s International Program Dean will help you with:

  • Selection of appropriate classes;
  • Disputes between students and professors;
  • Advise students on educational progress;
  • Provide students with preliminary financial information.

1.6. If you have questions about your payment for the program or any other finance-related issues, you need to contact ConcordiaUA‘s Chief Accountant. The Chief accountant will help you with the following issues:

  • Calculation of the amount of your education fees per semester;
  • Calculation of the amount of your education fees per year;
  • Debt issues.

1.7. You would also need to contact the ConcordiaUA‘s IT Director. The IT Director will help you with the following questions:

  • Your access to the ConcordiaUA‘s Intranet Server;
  • Issues related to information search;
  • Your access to internet services.

1.8. You would also need to contact ConcordiaUA‘s Library Director. The Library Director will assist you with the following issues:

  • Obtaining required text-books for your classes (after your library deposit has been paid);
  • Advice on class-related non-required books;
  • Assistance with the internet information search;
  • Advice on availability of academic literature in other universities in Kyiv.

1.9. If you have complaints or suggestions or would like to discuss personal issues as related to the process of your education, you may need to contact ConcordiaUA‘s Vice Rector. ConcordiaUA‘s Vice-Rector will help you with:

  • Provide guidance in your personal issues as related to your study at ConcordiaUA;
  • Solving disputes of any kind as related to your education at ConcordiaUA.

1.10. If you are interested in broadening your understanding of academic research, publishing and participation in research conferences, the person you need to contact is ConcordiaUA‘s Provost for Research. The Provost for Research will help you with the following issues:

  • Information on available research academic conferences (local, national and international);
  • Participation in research academic conferences;
  • The process of research and publication.

1.11. If you would like to get involved into student/alumni activities and would like to participate in the events sponsored by ConcordiaUA, the person you need to contact is the ConcordiaUA‘s Internship & Career Development, PR& Communications Manager. The Internship & Career Development, PR& Communications Manager will help you with the following questions:

  • Information on available openings in companies;
  • Development and monitoring of the social network of ConcordiaUA graduates;
  • Student Council information.

1.12. If you have questions related to the overall class maintenance, the staff person you need to see is the ConcordiaUA‘s Office Manager. The Office Manager can help you with the following issues:

  • Maintenance of classrooms and equipment;
  • Dormitory residence.

1.13. Students Regulations at Ukrainian-American Concordia University 

Students enrolled in the WMUU can be expelled from the institute:

  • voluntarily;
  • for failure to fulfill the curriculum;
  • for violation of contract terms;
  • for violation of discipline;
  • for the admission or interruption of studying without valid reason;
  • in other cases stipulated by the laws.

Students studying at the institute may interrupt their studies due to valid circumstances (for health reasons, a call for regular military service in case of loss of the right to postpone it, study or internship in educational and scientific institutions of foreign states, etc.) in case they provide the  necessary supporting documents.

Students must inform the administration of the University about the intention to discontinue study process due to valid circumstances or at the request of students for other reasons, in writing with the explanation of the reasons and terms for the interruption of studies and the necessary supporting documents.

The decision on the possibility of interrupting the student’s education, the reason and the term of the break in the study is taken by the administration of the University and fixed by an order.

Interrupting the student’s education without his/her application explaining the reasons, terms of the interruption of studies and necessary supporting documents is considered non-acceptable and causes disciplinary responsibility up to the termination of the contract on the initiative of the administration of the University and expelling of the student who has violated the university studies regulations.

Academic leave is granted to students who, with the permission of the administration, interrupted their studies at the University due to valid reasons.

Students who miss studies for valid reasons are required to provide justification documents to the administration of the University on time.

Information on individual education plans for international students of the preparatory department entering Ukrainian-American Concordia University (ConcordiaUA) during academic/calendar year and regulations for their tuition fees payment:

Admission of individuals to study at the university is carried out on the basis of a contract.

The student’s academic year at the preparatory department consists of two semesters with a total cost of 25,000 (twenty five thousand) hryvnias.

During a semester a student studies 5 courses (subjects). The course (subject) consists of 45 class hours, and it is expected that while studying this subject, the student works independently for 90 hours. Thus, the total student load for one semester is equal to 225 class hours and 450 hours of independent work.

Subject to the successful completion of the full term of study – two semesters, 450 academic hours – students receive a Certificate on the completion of the Preparatory Department program at ConcordiaUA.

The tuition fee for both semesters (complete Preparatory Department program) is paid to the university bank account before or when the contract is signed. In exceptional cases, for the existence of objective, valid reasons, the university administration may allow payment in the following way: the first payment – not less than 50% of the total cost of the program should be paid to the university bank account before or when the contract is signed, and the remaining part – no later than on the 105th calendar day (the last calendar day of the 15-week term) from the day of signing the contract.

In case of untimely payment, the student is expelled from the university with the cancellation of the student registration of the State Immigration Service of Ukraine.

Students studying at ConcordiaUA can terminate their studies at the university:

– voluntarily;

– for failure to fulfill the curriculum;

– for violation of contract terms;

– for violation of discipline;

– for missing classes or interruption of training without valid reason;

– in other cases stipulated by the laws.

Students studying at the university may interrupt their studies due to valid circumstances (for health reasons, a call for temporary military service in case of loss of the right to postpone it, study or internship in educational and scientific institutions of foreign states, etc.) if valid supporting documents are provided.

Students should notify the university administration in writing of the intention to discontinue learning due to valid circumstances or at the request of students for other reasons, with a mandatory application, explaining the reasons for and the timing of the interruption of the studies and the necessary supporting documents.

The decision on the possibility of interrupting the student’s studies, the reason and the term of the break in the study is taken by the administration of the University and fixed by the relevant order.

Interrupting the student’s training without submitting an application explaining the reasons, terms of interruption of training and necessary supporting documents is considered unacceptable, and being a student’s leads up to the termination of the contract on the initiative of the university administration and the expelling of the student who violated the studies schedule.

Academic leave is granted to students who, with the permission of the administration, interrupted their studies at the university.
