Travel and Administration Officer

Your Impact:

 The purpose of this role is to support travel and logistics for conferences, training, and business trips, facilitate travel arrangements, reports writing.

Key duties and responsibilities include:

Travel and Logistics Support: 
•    To work closely with travel team based in Kyiv and external agencies in UA to facilitate travel arrangement and coordination with the travel team, recipients and staff, including but not limited to tickets, transfer, lodging, per diem calculation and payment, travel-related documents arrangement.
•    Staff trips and travel arrangement. 
•    Help resolve travel issues, seek opportunities and offer suggestions to improve travel process. 
•    Documentation support for non-residents, including visa and permits support.
•    Reporting accounting and filing • Update daily travel tracking • provide weekly and monthly travel report • Update Country contact sheets for travel.

Administration Support:
•    Initial drafting of documentation (reports, letters, requests, etc.)
•    Manage archiving of files as required and ensure files tagged and records kept up to date.
•    Organize staff weekly briefing meetings, staff conferences and miscellaneous events.
•    Receiving mails and ensuring that it is logged, day stamped and passed to the recipient. Post incoming/outgoing mails.
•    Manage the general enquiries mailbox, ensuring that all queries are dealt with by the correct department and in a timely manner. 
•    Perform other ad hoc duties, as assigned by line manager

 

Here’s What You’ll Need:

 

  •  Relevant experience in project administration support, procurement and/or travel. 
    •    Excellent EN and UKR communication, writing, reporting, and speaking skills. 
    •    Excellent attention to details and care about presentation of work shared with others.
    •    Initiatives to addressing work related challenges
    •    Ability to prioritise and effectively manage changing workload and priorities
    •    Proficiency in Microsoft Office including the ability to use office outlook suite of applications and relevant IT software
    •    Ability to connect the dots to deliver simple solutions to relatively complex issues.
    •    Experience in dealing with a cross section of staff and ensure that they are consistent, fair and can easily adapt to support colleagues with different priorities
    •    Must have experience working in an office environment
